Payments

• Final high-resolution, editable, or production-ready files may be withheld until the final balance is received.
• Late payment may delay project progress, delivery, or future work.
• Any bank charges, platform fees, currency conversion fees, taxes, or transfer costs are the client’s responsibility unless agreed otherwise.

Revisions and Feedback

Reasonable revisions are part of a professional creative process. The number and type of included revisions should be confirmed in the quote or project scope.

• Client feedback should be clear, consolidated, and provided within the agreed review timeline.
• Changes caused by incorrect, incomplete, or late client information may be treated as additional work.
• Major changes in direction, new deliverables, new formats, or new messaging after approval may require extra fees.
• Delays in feedback or approvals may extend the project timeline.

Client Responsibilities

Clients are responsible for providing accurate, complete, and legally usable materials needed for the project.

• Provide product information, science references, claims, brand assets, logos, images, data, and feedback on time.
• Confirm that supplied material does not infringe copyright, trademark, confidentiality, or third-party rights.
• Review scientific, regulatory, product, legal, and marketing claims before publication or commercial use.
• Obtain any required approvals from internal teams, partners, distributors, legal reviewers, or regulatory advisors.

Ownership and Licence

Unless otherwise agreed in writing, Soil Stories retains ownership of original working files, concepts, process materials, sketches, source files, style systems, and unused directions. Final approved deliverables may be licensed or transferred for the agreed client use after full payment.

• Clients may use final paid deliverables for the agreed business, campaign, platform, or project purpose.
• Unpaid drafts, unused concepts, rejected versions, and working files may not be used, copied, published, or modified.
• Editable source files are not included unless specifically agreed and priced.
• Soil Stories website text, portfolio images, illustrations, articles, layouts, and visual systems may not be copied or reused without written permission.

Confidentiality and Portfolio Use

Soil Stories respects confidential client information, unpublished product details, research material, draft work, and project strategy shared during a project.

• Confidential information will not be intentionally disclosed except when needed to deliver the project or when legally required.
• If a formal NDA is required, it should be discussed before confidential information is shared.
• Portfolio use, case studies, public display, or social sharing of client work will follow the agreed permission and confidentiality requirements.
• Client logos, names, and completed work may be shown only where permission is given or where the work is already public and use is appropriate.

Cancellations and Refunds

Projects require time for planning, research, communication, and production. Cancellation and refund handling depends on the project stage and work already completed.

• Deposits or advance payments may be non-refundable once project planning, research, scheduling, or creative work has started.
• If a project is paused or cancelled by the client, fees may be charged for completed work, reserved time, research, drafts, and administration.
• Refunds are not normally provided for approved, delivered, or substantially completed work.
• If Soil Stories cannot continue a project for an unexpected reason, a fair resolution will be discussed based on work completed and payments received.

Limitation of Liability

Soil Stories aims to provide accurate, thoughtful, science-based communication, but final business, scientific, regulatory, legal, and commercial decisions remain the client’s responsibility.

• Website content and service information are provided for general information and do not replace legal, regulatory, agronomic, financial, or scientific review where needed.
• Clients are responsible for checking claims, product statements, label content, compliance requirements, and market-specific regulations before publication.
• Soil Stories is not responsible for indirect losses, lost profit, business interruption, platform changes, third-party decisions, or results outside the agreed project deliverables.
